1. Who we are and what this policy covers
Thayer Upholstery Inc. operates under the names Studio Thayer, Thayer Furniture, and Thayer Designer Resource ("Thayer," "we," "us," or "our"). This policy explains how we collect, use, disclose, and retain personal information when you visit studiothayer.com, use our customer or designer portals, request an estimate, apply for a trade account, purchase products or services, visit our showroom, or communicate with us online or offline.
It also describes our email and text-message marketing. Our SMS Messaging Terms govern participation in our text-message program. Purchase terms and designer trade agreements address your commercial relationship with us separately. This policy does not cover employment or job-applicant records.
2. Information we collect
Contact and account information. We collect information such as your name, business name, email address, telephone number, billing and delivery addresses, account credentials, authorized contacts, and communication preferences.
Project and order information. This may include furniture and room photographs, measurements, drawings, material selections, project notes, quote requests, purchase orders, invoices, payment status, delivery instructions, and correspondence. If a designer or another representative supplies information about a client or delivery recipient, we use it to support the relevant project.
Trade application information. We may collect a principal or authorized representative's name and title, business contact details, business tax identifiers when needed, resale certificates, trade references and their contact information, eligibility information, and records of agreement acceptance. We may obtain verification information from references, the business you represent, and relevant public business records.
Payment information. Payments are processed through payment service providers, including Stripe and Intuit/QuickBooks where used. Depending on how you pay, payment details may be provided directly to the processor or handled by our staff to complete the transaction. We also maintain billing and transaction records and may receive limited payment-method details, such as the card brand and last four digits. Please do not send full card numbers, security codes, bank account details, or Social Security numbers through general inquiry or trade-application forms.
Website and message activity. We and our providers may collect your IP address, browser and device information, referring pages, pages visited, dates and times of access, and interactions with our website, forms, and messages. Cookies, similar technologies, and email tracking are explained below.
Communications and preferences. We keep information you provide when you contact us and records of marketing choices, consent, unsubscribe requests, and related dates and sources. Where electronic agreements are used, acceptance records may include the signer's identity, date and time, agreement version, and associated verification and technical records.
Please provide only information reasonably needed for your request. If you supply information about another person, you should have authority to provide it and share this policy with them as appropriate. Project information supplied by a designer does not automatically enroll the designer's client in our marketing.
3. How we use information
We use personal information to respond to inquiries; prepare and revise estimates; process payments; fulfill orders; coordinate workroom production, materials, pickup, shipping, and delivery; provide customer support; and maintain account and business records.
We also use it to review trade applications, verify eligibility and references, administer designer accounts and agreements, operate and improve our websites and portals, understand service and campaign performance, prevent fraud and misuse, protect our systems, resolve disputes, and comply with legal obligations.
With the appropriate permission, we send showroom invitations, product news, promotions, and other marketing. We use your preferences and interactions to make these communications more relevant.
We may use software, including document-recognition and AI-assisted tools, to help organize submitted information, extract details from documents and images, and assist with estimates or administrative work. Relevant information may be processed by providers supporting those functions. These uses remain subject to the purposes and disclosures described in this policy.
4. Email marketing and your choices
We use Mailchimp to manage email subscriptions and send marketing emails. We send these emails to people who have opted in or otherwise provided express, verifiable permission. Requesting a quote, purchasing from us, applying for a trade account, or accepting a designer agreement does not by itself enroll you in email marketing.
You can unsubscribe using the link in any marketing email or contact info@studiothayer.com. We maintain the information needed to honor your choice. Unsubscribing from marketing does not stop necessary, non-promotional communications about your inquiries, orders, invoices, deliveries, account, or security.
5. Text-message marketing
If you separately opt in to our text-message program, we use your mobile number, preferences, and consent records to send messages and administer the program, including through Mailchimp. Email permission is separate from SMS permission. Consent to marketing texts is not a condition of purchasing products or services.
Message frequency varies, and message and data rates may apply. You can opt out by replying STOP where supported or by using the unsubscribe instructions included in the message. For help, reply HELP where supported or contact info@studiothayer.com. We may send a confirmation of your opt-out.
We do not sell or rent mobile numbers collected for our messaging program, or share them with third parties or affiliates for their own marketing or promotional purposes. Text-message opt-in information and consent records are not shared for those purposes. We may provide this information to service providers that support operation and delivery of our messaging program, or disclose it when legally required.

6. Cookies, analytics, and email tracking
Our Squarespace website is configured to restrict non-essential cookies, and its visitor activity log is disabled. Essential cookies and similar technologies may still support site functions, security, forms, preferences, and accounts. Hosting and service providers may process technical information needed to operate and protect their services; restricting cookies does not prevent every server log or basic page-view count.
When enabled, Mailchimp's tracking technologies can indicate whether a marketing email was opened and which links were clicked. We use this information to understand campaign performance and improve communications. Device and email privacy features can affect the accuracy of these measurements.
You can control cookies through your browser. Blocking essential cookies may affect site features. Outside services you choose to use, including payment services and our portals, may use their own cookies as described in their notices. Blocking remote images in email can limit some open tracking; unsubscribing stops future marketing emails. These controls may not prevent link-click measurement.
We do not seek permission to enable optional Squarespace tracking cookies because we keep them restricted. If we introduce optional tracking that requires consent, we will provide the required notice and choice before using it.
7. How we disclose information
Business service providers. We disclose information as needed to providers that help us run our business, including website hosting and forms, account and portal services, email and SMS marketing, payment processing, accounting, cloud storage, document processing, electronic agreements, technology support, and professional advisers. These include Squarespace, Mailchimp, Stripe, and Intuit/QuickBooks where used. Some providers also process information under their own privacy notices for activities such as payment fraud prevention and legal compliance.
Project participants. We share relevant project and contact information with the designer or customer responsible for an order, authorized representatives, manufacturers, suppliers, workrooms, delivery teams, and shipping providers when needed to quote, source, produce, deliver, or service the project. We limit these disclosures to information reasonably needed for that purpose.
Legal and protective purposes. We may disclose information to comply with law or valid legal process, establish or defend legal claims, investigate suspected fraud, or protect the rights, safety, and property of Thayer, our customers, or others.
Business changes. Information may be disclosed in connection with a proposed or completed merger, acquisition, financing, reorganization, or sale of business assets, subject to applicable confidentiality and legal requirements. This does not authorize sharing SMS opt-in information for another party's own marketing.
At your direction. We may disclose information when you direct or authorize us to do so. The specific protections for SMS program information in Section 5 apply to those records.
8. Retention and security
We retain personal information for as long as reasonably needed to fulfill the purposes described in this policy. Retention depends on the type of information, our relationship with you, open projects, tax and accounting requirements, contractual obligations, warranty and claim needs, and other applicable legal requirements.
We may retain agreement and consent records to document your instructions, and limited unsubscribe information to avoid sending marketing you have declined. Information subject to a legal hold or needed for a dispute may be retained longer. When information is no longer needed, we delete or de-identify it through our records-management practices, subject to applicable backup retention.
We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. No website, transmission method, or storage system is completely secure, and we cannot guarantee absolute security. Please protect your account credentials and tell us promptly if you suspect unauthorized account activity.
9. Your privacy rights
Contact us to request access to, correction of, or deletion of your personal information. Depending on your location and the laws that apply to our business, you may also have rights to portability, objection or restriction, withdrawal of consent, opt-out of certain uses, or appeal of a decision.
Send requests to info@studiothayer.com or the address below. We may verify your identity and an authorized agent's authority. Do not send sensitive identification documents unless we request them through an appropriate channel.
We respond within applicable legal deadlines. Exceptions may allow us to retain records to complete transactions, comply with law, honor opt-outs, or defend claims; we will explain applicable limitations. We will not discriminate against you for exercising legally protected rights. You may also have the right to contact your relevant privacy regulator.
10. Location of processing and legal grounds
We are based in the United States. Our providers may process or store information in the United States and other countries, where privacy laws may differ from those where you live. Where applicable law requires safeguards for international transfers, we use the safeguards required for the relevant transfer.
Where a legal basis is required, we rely on consent, contractual necessity, legal obligations, or legitimate interests not overridden by your rights. Marketing permission is addressed in Sections 4 and 5. Withdrawing consent does not affect earlier lawful processing.
11. Children and outside services
Our services are intended for adults and business customers, and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided it, please contact us so we can investigate and take appropriate action.
Links to suppliers, social platforms, payment services, and other outside websites may take you to services with their own privacy practices. Review their notices before providing information to them.
12. Updates and contact information
We may update this policy as our practices or legal obligations change. We will post the updated policy with its effective date and provide additional notice or obtain consent when required by applicable law. A policy update does not itself enroll anyone in marketing.
